Project Overview
Malaria Consortium is expanding its Safety and Antimicrobial Resistance Mass Administration of Azithromycin (SARMAAN II) project to five Nigerian states. In Kaduna State, the campaign involves biannual Azithromycin distribution to children under five. With payments already processed in 18 LGAs and a new campaign in 5 additional LGAs, we are hiring Finance Assistants to support payment documentation, processing, and operational finance needs.
Objective of the Role
To support the State Finance Officer during the campaign by ensuring timely, accurate financial documentation and processing of payments for training, logistics, and service delivery in the remaining 5 LGAs of Kaduna State.
Key Responsibilities
Daily Activities:
- Review transactions and ensure documentation is accurate and approved
- Cross-check attendance with databases to prepare payment schedules
- Create and code payment vouchers accurately
- Receive and attach payment advice to documents for proper filing
- Work with the Finance Officer to ensure complete documentation of payment vouchers
- Maintain a payment journal in Excel and share updates weekly
- Review all payment requests and forms in line with internal finance policies
- Monitor and request finance supplies such as files and office materials
- Support logistics during trainings and attend finance sessions during cascade training
Weekly Activities:
- Submit accurate payment schedules for all campaign activities per LGA
- Maintain trackers for paid and pending claims
- Review and archive supporting documents for submission to the Country Office
- Track supplier invoices and process them for payment
- Monitor and resolve any failed payments
- Submit weekly finance activity reports
Operations and Compliance:
- Scan and file finance documents following proper standards
- Keep records of documents sent to and received from the Abuja office
- Assist with audits and physical asset checks
- Maintain full compliance with finance documentation standards
- Escalate issues to the Finance Officer within 12 hours of identification
Expected Deliverables
- Accurate and validated payment schedules for all cascade trainings and MDA rounds
- Properly filed and scanned financial records
- Weekly activity reports and a final summary report
- Timely voucher preparation and document submission
- 100% compliance with financial procedures
Required Qualifications
- A degree in Finance, Accounting, Business Administration, or a related field
- Strong Excel and Word skills
- Excellent communication and numerical skills
- High attention to detail and accuracy
- Ability to work independently and within a team
- Previous experience with Malaria Consortium or SMC campaigns is an advantage
