Role Overview

The IT Hardware Procurement Officer will handle the sourcing, purchasing, and management of IT and network hardware required for the company’s operations. The role involves ensuring timely procurement, maintaining vendor relationships, optimizing costs, and supporting the company’s technical infrastructure.

Key Responsibilities

Procurement Management

• Manage end-to-end procurement of IT and network hardware such as routers, switches, servers, modems, and cables.
• Prepare and issue RFQs and purchase orders following company policies and approved budgets.
• Review supplier quotations, negotiate pricing and terms, and ensure cost-effective procurement.

Vendor and Supplier Management

• Identify and maintain relationships with trusted hardware suppliers and distributors.
• Track supplier performance in terms of quality, delivery, and after-sales service.
• Keep an updated list of approved vendors and pricing records.

Inventory and Logistics Coordination

• Collaborate with warehouse and logistics teams to monitor deliveries and maintain accurate inventory records.
• Support the technical team in checking equipment specifications and compatibility.
• Plan procurement schedules based on usage forecasts and project demands.

Compliance and Documentation

• Ensure all procurement activities comply with company and regulatory standards.
• Keep accurate records of contracts, invoices, and delivery documents.
• Prepare periodic reports on procurement performance and spending.

Cost Optimization and Process Improvement

• Monitor market trends to identify opportunities for cost reduction and better sourcing.
• Suggest and implement improvements in procurement processes and systems.

Qualifications and Skills

• Bachelor’s degree in Supply Chain Management, Business Administration, Engineering, or a related field.
• 3–5 years of experience in procurement or supply chain management, preferably in an ISP, ICT, or technology-focused organization.
• Proven experience sourcing IT and network hardware.
• Strong understanding of procurement processes, vendor negotiations, and contract management.
• Proficiency in Microsoft Office tools and ERP systems such as Microsoft Dynamics 365.
• Excellent negotiation, analytical, and communication skills.
• Strong organizational ability and attention to detail.
• Certification in Supply Chain Management is an advantage.
