Position: Practice Operations Officer
Reports To: Managing Principal
Location: Abuja 
Employment Type: Full-Time (2–3 days in-office)

Role Overview

The Practice Operations Officer is responsible for ensuring that internal systems, workflows, and teams operate at peak efficiency. This role converts strategic goals into daily action, coordinates resources across departments, manages client onboarding processes, enforces accountability, and drives consistency in delivery. It is a central role that safeguards quality, ensures deadlines are met, and continuously improves how the firm operates.

Key Responsibilities

Operational Oversight & Accountability

  • Drive the firm’s operating rhythm and ensure all deliverables are completed on time

  • Translate strategic goals into tasks using Zoho and assign responsibilities

  • Track progress, resolve bottlenecks, and escalate risks when necessary

  • Enforce compliance with internal standards and documentation processes

Quality & Process Control

  • Validate that deliverables meet accuracy and consistency requirements

  • Ensure outputs follow firm templates and are client-ready

  • Maintain discipline in processes and documentation

Systems & Automation

  • Manage internal tools such as Zoho Books, Zoho People, and Analytics dashboards

  • Develop and update SOPs to standardize workflows

  • Introduce AI-enabled tools to reduce manual tasks

Client Onboarding & Coordination

  • Lead operational setup for new engagements

  • Coordinate resource allocation across teams

  • Ensure onboarding templates, checklists, and communication structures are in place

Resource & Workforce Management

  • Track team availability and workload distribution

  • Support HR functions such as onboarding and recruitment coordination

  • Highlight resource gaps and recommend solutions

Reporting & Insights

  • Deliver a monthly operational report to leadership

  • Provide data-driven recommendations and issue escalations

Continuous Improvement

  • Identify recurring challenges and implement process improvements

  • Support client-facing teams by resolving operational barriers

Qualifications and Skills
  • Bachelor’s degree in Business Administration, Accounting, or related field

  • 2–4 years’ experience in operations, project coordination, or practice management

  • Professional certifications (ACA, PMP, HR/Operations) are an advantage

  • Strong leadership and accountability mindset

  • Excellent organizational and systems management skills

  • High digital fluency with AI and automation tools

  • Strong communication and reporting abilities

  • Integrity and professionalism in handling confidential information
