Role Overview

The Administrative Assistant supports the daily operations of Greenland Hall by managing front desk duties, keeping accurate records, and ensuring smooth communication across departments. This role requires a well-organised, confident, and proactive individual who can work efficiently in a busy school environment while maintaining professionalism.

Key Responsibilities
  • Front Desk

Welcome parents, students, visitors, and vendors, providing assistance and guidance.
Handle incoming calls, emails, and enquiries.
Manage visitor logs and ensure compliance with all security procedures.

  • Student Administration

Update and maintain accurate student records.
Track daily attendance and prepare reports.
Support the admissions process, including enrolment and documentation.

  • Administrative Support

Schedule meetings and appointments for school leadership.
Prepare meeting documents, take minutes, and follow up on action points.
Assist academic departments with administrative tasks such as printing and filing.
Monitor office supplies and place replenishment requests.

  • Communication

Draft and share official letters, notices, and internal messages.
Assist in managing school communication channels.
Maintain accurate communication records.

  • Record Keeping

Organize digital and physical files for students, staff, and school operations.
Ensure confidentiality of all sensitive information.
Maintain administrative registers and logs.

  • Financial and Logistics Support

Assist with fee-related enquiries when required.
Receive and record deliveries.
Track maintenance requests and follow up with relevant teams.

  • Event Support

Assist in the organization of school events such as PTA meetings and open days.
Handle logistics and prepare required documents and materials.

  • Compliance and Safety

Ensure visitors follow safety procedures.
Support emergency drills and compliance reporting.
Promote and uphold school safeguarding policies.

  • Office Management

Maintain a clean and organised administrative office.
Report faults in office equipment and ensure timely repairs.
Support the implementation of efficient administrative systems.

  • Other Duties

Carry out additional administrative tasks assigned by school leadership.
Provide support during busy periods such as examinations and admission cycles.

Qualifications and Skills
  • Education

OND, HND, or Bachelor’s Degree in Administration, Office Management, Education, or a related field.
Additional training in ICT or administrative management is a plus.

  • Technical Skills

Good knowledge of Microsoft Office and Google Workspace.
Strong typing and document preparation skills.
Experience with school management software is an advantage.

Strong communication and interpersonal skills.
Good organisation, time management, and multitasking ability.
Attention to detail and ability to work under pressure.
