Job Summary

The Office Administration / HR Officer will be responsible for managing administrative operations, ensuring seamless day-to-day functions, and supporting management to enhance overall efficiency. The role requires a proactive, organized individual who can coordinate office activities, manage records, and support both staff and visitors in a professional manner.

Main Duties
  • Welcome and attend to visitors in a professional and courteous manner
  • Answer and route phone calls to the appropriate staff
  • Manage inquiries and provide accurate information about the company
  • Maintain an organized and professional reception and office environment
  • Handle client complaints and escalate when necessary
  • Support guests and provide assistance to ensure a positive experience
  • Manage correspondence, appointments, and calendars for senior staff
  • Organize and file documents both physically and digitally
  • Monitor office supplies and ensure timely replenishment
  • Oversee stationery, consumables, and office essentials
  • Supervise facility maintenance, including generators and air conditioners
  • Support logistics for staff travel, events, workshops, and meetings
  • Coordinate with vendors for cleaning, security, and other services
  • Maintain accurate logs and prepare reports on administrative activities
  • Manage document control, compliance, and version tracking across departments
  • Provide data entry and document preparation support
  • Ensure smooth operation of communication tools including phone and email systems
  • Ensure compliance with health and safety policies in the office
  • Maintain first aid supplies and report incidents when necessary
  • Collaborate with internal teams to ensure smooth operations across units
  • Support the MD, GM, and line managers with assigned tasks
  • Participate in training and professional development opportunities
Requirements
  • Bachelor’s degree in Administration or related field
  • Minimum of 4 years’ experience in administrative or front desk roles (hospitality or corporate settings preferred)
  • Strong communication and interpersonal skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Excellent organizational and multitasking abilities
  • Professional appearance and strong attention to detail
  • Ability to thrive in a fast-paced environment
