Job Title: Administrative Assistant
Location: Ikeja, Lagos
Employment Type: Full-time

Job Summary

We are seeking a detail-oriented and organized Administrative Assistant to support daily office operations. The ideal candidate will manage various administrative tasks, ensuring the office runs efficiently. This role involves handling communication, scheduling, document management, and offering general support to managers and teams.

Key Responsibilities

Office Management and Organization

  • Maintain a clean and organized workspace.
  • Manage office supplies to ensure availability.
  • Oversee equipment maintenance and repairs.
  • Maintain both physical and digital filing systems for efficient document retrieval.

Scheduling and Calendar Management

  • Organize and manage calendars for executives or team members.
  • Schedule appointments, meetings, and events, ensuring relevant details are shared.
  • Send reminders and ensure all necessary materials are prepared.

Communication and Correspondence

  • Answer calls and direct inquiries appropriately.
  • Respond to emails and messages promptly and professionally.
  • Manage incoming and outgoing mail and packages.
  • Draft and proofread memos, reports, and other documents.

Meeting and Event Coordination

  • Plan and support meetings, conferences, and company events.
  • Prepare agendas, take meeting minutes, and follow up on action items.
  • Arrange logistics such as room bookings, catering, and other resources.

Document and Data Management

  • Prepare, edit, and format reports and presentations.
  • Maintain company records, spreadsheets, and databases.
  • Assist in preparing financial reports, invoices, and budgets.

Human Resources and Staff Support

  • Assist with onboarding new employees, including preparing necessary documents.
  • Maintain attendance records and assist with payroll preparation.
  • Coordinate employee training sessions as needed.

Customer and Client Support

  • Welcome visitors and provide appropriate assistance.
  • Maintain positive relationships with clients, vendors, and partners.
  • Handle customer inquiries and escalate issues when required.

Financial Support (if required)

  • Assist with expense tracking, invoicing, and petty cash management.
  • Support budget tracking and financial reporting.

Other Administrative Tasks

  • Provide general support across various departments.
  • Manage travel arrangements, including booking flights, accommodations, and transportation.
  • Support special projects and other ad-hoc duties as assigned.

Qualifications and Skills

Education & Experience

  • Minimum of a High School Diploma; an Associate’s Degree or Bachelor’s Degree is preferred.
  • 1 – 3 years of relevant experience in an administrative role is ideal.

Technical Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Experience using office management tools like Google Workspace, Slack, etc.
  • Basic bookkeeping knowledge is a plus.

Communication Skills

  • Strong verbal and written communication skills.
  • Ability to interact professionally with clients, visitors, and team members.

Organizational & Time Management Skills

  • Excellent multitasking and prioritization abilities.
  • Strong focus on meeting deadlines and handling urgent requests effectively.

Problem-Solving & Initiative

  • Proactive mindset with attention to detail.
  • Ability to identify and resolve issues independently.

Confidentiality & Discretion

  • Maintain strict confidentiality regarding sensitive information.
  • Demonstrate integrity and professionalism at all times.

Work Environment

  • The role is primarily office-based.
  • Standard working hours are 9 AM – 5 PM, with occasional overtime as required.

Physical Requirements

  • Ability to sit for extended periods and use a computer.
  • Occasionally lift office supplies or equipment (up to 25 lbs).
